Our Customer Intake and Filing System

  1. Input the customer into Quickbooks. For the Customer Name, use the LastName, FirstName format.
  2. Assign the customer a Manilla Folder Code using the year, an incremented customer number, and the first and last initials. (E.g. 2014-121PZ).
  3. Print the customers contact info (Print > Customer and Job Information)
  4. Create a Manilla Folder for the customer. Label it with the Manilla Folder Code. Staple the printed contact info to the back of the folder, with the staple at the top, and the contact info reading from top to bottom on the right hand side.
  5. Fill out the Project Overview and Project Requirements forms with the client. Then file both in Manilla Folder.
